When to Call

Call the Moment Records Get Wet, Ink Runs and Mould Starts in 24-48 Hours

The single biggest factor in document recovery is how fast you act. The moment paper absorbs water, ink begins to run and bleed, fibres swell and pulp, coated pages bond together, and photographs stick to each other and to glass. What looks recoverable in the first hour can be a fused, illegible block by the next day. Drying alone does not reverse this, it locks the damage in place.

Mould compounds the urgency. Health Canada and CMHC note that mould can begin to grow on damp materials within 24 to 48 hours, and paper, books, and archives are ideal hosts. Once mould takes hold it stains, weakens, and contaminates records, and it can spread to dry materials nearby. Calling Firstline immediately, before you try to dry or move anything, gives your documents their best and often only chance.

What's Included

What Document and Media Recovery Covers

Document and media recovery is the specialized salvage of paper-based and media items damaged by water, smoke, or humidity, using freezing and controlled drying rather than ordinary air-drying. It applies to:

  • Legal and financial records: contracts, deeds, titles, ledgers, tax files, and corporate documents.
  • Medical and personnel records: patient files, charts, and HR archives with retention obligations.
  • Books, archives, and bound volumes: reference libraries, registers, and historical collections.
  • Photographs, negatives, and prints: irreplaceable family and institutional images.
  • Media and other records: microfilm, maps, drawings, and assorted business paperwork.

The goal is to return records as close to pre-loss condition or better as the material allows, and to preserve their legibility, integrity, and usefulness for both day-to-day use and the insurance claim.

The Core Threat: Wet Paper Is on a Clock

Paper and photographs are among the most time-sensitive materials in any property loss. The risks escalate quickly:

  • Irreversible bleeding: water-soluble inks and dyes migrate, blurring text and images permanently within hours.
  • Pulping and fusing: saturated fibres swell, pages mat together, and photographs bond to each other and to glazing.
  • Mould and rot: within 24-48 hours, damp paper begins to support mould that stains, weakens, and contaminates the collection.

Once any of these takes hold, no later treatment fully undoes it. The only reliable defence is to stop the clock fast, which is exactly what freezing does.

The Core Threat: Wet Paper Is on a Clock for Document and Media Recovery Services

The Freeze + Vacuum-Freeze-Dry Method

The technique that makes recovery possible is immediate freezing. Bringing wet documents below freezing halts ink migration, stops fibres from pulping further, and shuts down mould before it can start. Freezing does not dry the records, it buys time and locks them in a stable state so nothing gets worse while they wait to be processed. This is why Firstline stabilizes and freezes on site rather than attempting to dry anything in the field.

From there, recovery is done by vacuum freeze-drying. The frozen documents are placed in a chamber where, under vacuum, the ice turns directly to vapour without passing through a liquid stage. Because the water never re-wets the paper, pages do not pulp, cockle, or re-bleed, and bonded sheets release cleanly. It is the gentlest effective way to remove moisture from fragile paper, books, and photographs and is the standard approach for salvaging high-value and irreplaceable records.

How It Works

How Firstline Recovers Documents and Media

01
Stabilize and freeze: we respond fast, secure the affected records, and freeze wet documents and media immediately to stop ink bleed, pulping, and mould.
02
Inventory and document: we catalogue what was affected, box by box, file by file, so nothing is lost track of and the loss is fully recorded for the claim.
03
Freeze-dry: frozen items are vacuum freeze-dried to draw out moisture without re-wetting, cockling, or further damaging the paper.
04
Clean and deodorize: recovered items are surface-cleaned and treated to address residual soot, debris, and smoke or mustiness odours where present.
05
Digitize if needed: for compliance-critical or fragile records, we can scan and digitize so you have a usable backup copy.
06
Reassemble and quality-check: records are re-collated, organized to your structure, and checked for legibility and completeness.
07
Return and report: recovered documents and media are returned to you, with the documentation that supports your insurance claim.

Why Air-Drying or Separating Wet Pages Destroys Them

The instinct after a flood is to lay papers out to dry or peel apart stuck pages and photos. Both do lasting harm. Air-drying lets water-soluble inks keep bleeding while the paper dries, cockles, and warps in place, fixing the distortion permanently. Pulled-apart wet pages tear, and photographs that have begun to bond will lift their emulsion, the image, right off the paper when separated by hand.

Heat and fans make it worse, accelerating brittleness and driving mould spores around the space. Wet documents are also heavy and fragile, so handling and stacking them causes tearing and crushing. The right move is the opposite of instinct: do not separate, do not dry, and do not stack, freeze fast and let controlled freeze-drying do the work. Calling Firstline before anything is disturbed preserves the most.

Homes and Businesses

In your home, the items at risk are usually irreplaceable: family photos and albums, children's keepsakes, passports and certificates, wills, mortgage and tax records, and treasured books. These cannot be re-printed or re-issued from a backup, which is why fast freezing matters so much. We treat your keepsakes as the one-of-a-kind items they are and recover everything the material allows.

For businesses and managed properties, the exposure is operational and legal. Legal, financial, and medical records, HR files, client archives, and bound registers often carry record-keeping, retention, and compliance obligations, and a flooded storeroom can put continuity and regulatory standing at risk. Firstline works with business owners, property managers, condo corporations, institutional teams, and adjusters to freeze, recover, digitize, and return records with the documentation those obligations demand.

Insurance Claim Help

Carriers Pay for What Is Documented

On a restoration claim, carriers pay for what is documented, not for what was actually damaged. A box of records that is recovered without a detailed inventory and photographic record is hard to claim. Firstline documents the affected documents and media item by item, what was lost, what was recovered, and the condition of each, so your claim reflects the true scope of the loss.

We do not decide coverage; policy decisions rest with your carrier, and outcomes depend on your specific policy and its limits. What we do is make sure the loss is recorded thoroughly and the recovery is defensible. For full support, see our insurance claim restoration assistance. We work directly with your insurance company and bill them directly where the carrier allows it. On a covered claim, insurance pays for the approved work and you normally pay only your deductible.
